How to Choose and Book Hotels in China

How to book hotels in China – China Revealed travel guide showing how foreigners can use Trip.com to find hotels, choose the correct hotel branch, check nearby metro stations, and complete hotel check-in with a passport.

If you’re working out how to book hotels in China, I’d start with Trip.com and choose the exact hotel branch before the room. For a first visit, I recommend a useful metro location, a staffed front desk and clear cancellation terms over a cheaper room that adds an hour to every outing.

Trip.com makes the booking side straightforward: English listings, room comparisons, payment options and English-language support. Below, I walk you through the checks that matter for a mainland China stay—from the map to the confirmation you should save before flying.

Quick takeaways

  • Choose the neighbourhood first. Compare routes to your sights, arrival airport or station, and departure point—not just “city centre”.
  • Check the exact branch. Save its Chinese name, full address and phone number; a familiar brand name is not enough.
  • Read the room’s rate plan. Beds, breakfast, cancellation, payment and the full-stay total belong together.
  • Confirm passport registration and late arrival. Get a specific written answer from the hotel, especially for an overnight arrival.
  • Save a confirmed booking offline. At 1 am, you will usually need the previous night’s room and an agreed late check-in.

1. Choose a base for your actual itinerary

Put four places on the map: your hotel, the main sightseeing area, your arrival airport or railway station, and your departure point. Compare the journeys you will actually make.

For several days of sightseeing, I’d choose a hotel near a useful metro line. For a single night before an early flight or train, I’d give more weight to the departure route. Moving hotels just to save a small amount can cost you a morning of sightseeing.

CheckWhat I look for
Daily sightseeingA manageable walk or metro journey to the places on your itinerary
Metro accessThe usable entrance, walk with luggage, line and transfers
ArrivalThe exact terminal or station, arrival time and transport still running
DepartureA practical route for your departure time, not just daytime travel
Immediate surroundingsFood, a convenience store and a straightforward guest entrance

Open Amap, paste the hotel’s Chinese name and check Routes → Transit / 公交地铁 or Walking. When planning ahead, replace your current location with the airport, station or hotel. Read the total journey time, walking sections and transfers.

“Distance from city centre” may be a straight-line distance. A nearby pin can still mean a long walk around a main road, across a river or to the correct metro entrance. I use the map to shortlist and the actual route to decide.

Shanghai: “Hongqiao” does not mean “at Hongqiao station”

I’ve put two Atour branches side by side to show why the full name matters:

Exact branchListing addressLocation
Atour Hotel Nanjing East Road, Shanghai on the BundNo. 105-1 Fuzhou Road, Huangpu DistrictCentral Shanghai, near the Bund and Nanjing East Road area
Atour Hotel Shanghai Hongqiao Shuicheng RoadBuilding 1, No. 555 Shuicheng Road, Changning DistrictWestern Shanghai, on Shuicheng Road

The second hotel has Hongqiao in its name, but it is not inside Shanghai Hongqiao Railway Station / 上海虹桥站. You still need to plan the journey. Hongqiao Airport and Pudong Airport are different destinations too.

Trip.com maps comparing Shanghai's Atour Nanjing East Road and Hongqiao Shuicheng Road branches, with distinct hotel locations and nearby transport information.
Compare the exact branch and its transport links. “Hongqiao” in a hotel name does not mean it is at the station.

2. Search with the right dates, rooms and guests

Open Trip.com through our travel link, select English if needed, then Hotels & Homes. If the link opens a regional homepage, choose the hotel tab. Enter the destination, check-in date, check-out date, rooms, adults and children.

Here I use Shanghai, October 22–24: two nights, one room, two adults. The check-out date is the day you leave—not another paid night.

For children, enter their actual ages. “Children stay free” usually refers to existing bedding, not an extra bed or free breakfast. For three adults, search for three adults rather than assuming everyone can share a double room.

Trip.com English hotel search with Shanghai, October 22 to 24, two nights, one room and two adults, alongside destination suggestions and search filters.
Set the nights and guest count first, then use filters to narrow the hotel list.

My shortlist starts with the filters that affect the stay: Hotel, Breakfast included, Free cancellation, 2 beds, or Pay at Hotel. An international-visitor filter such as Hi China! can help you shortlist too. Check the selected room rate and the property’s guest policy afterwards.

Read recent reviews for noise, cleanliness, room size and reception help. Guest photos often tell you more than the lobby gallery. For an essential requirement such as step-free access, get specific confirmation rather than relying on the overall score.

3. Save the Chinese branch name and address

Check the English name and its full branch suffix. “Atour Shanghai” or “Holiday Inn Beijing” is not a precise taxi destination.

Find Local hotel name, often under Property Description / About this property. Copy the Chinese name, complete address and telephone number. Match the address to the map pin, keeping any tower, building, floor or shared-reception details.

The two listings above use 上海外滩南京东路亚朵酒店 and 上海虹桥水城路亚朵见野酒店. The English names do not reproduce every Chinese word. Copy the local name from the listing instead of translating the brand yourself.

Trip.com property descriptions showing the Chinese local names and reception telephone numbers for two Shanghai Atour branches.
Find Local hotel name and the reception phone under Property Description; save them with the full address.

If the entrance is unclear, ask which one guests should use. A hotel may share a building with offices or have a different entrance from the vehicle drop-off. Our DiDi guide explains how to check the destination and entrance before requesting a ride.

4. Read the room and compare its rates

Open Room Details. Check the beds, maximum occupancy, bathroom, window, smoking policy and room size—not just the translated room name.

An “inner window” or “window faces hallway” is not an outside window. If daylight matters, choose a room with a clearly stated external window or ask the hotel. The view in the property gallery may belong to a more expensive room.

A double/queen room generally has one larger bed; a twin/2-bed room has two beds. Check bed dimensions and sofa-bed wording. For an accessible room or connecting rooms, confirm the exact arrangement with the property.

Open Room Details to check bed size, space and extra-bed rules before selecting a rate.

Same room, different breakfast and cancellation terms

One room type can have several rate plans. In this comparison, one includes two breakfasts; another offers breakfast as an optional purchase. Both display a cancellation deadline and Prepay online.

Trip.com rate plans for one hotel room, comparing included and optional breakfast, cancellation deadlines, online prepayment and two-night totals.
Compare breakfast, cancellation and the two-night total together—not just the largest price on the screen.

Before pressing Reserve, check these as one package:

Booking detailWhat to confirm
Dates and occupancyCorrect nights, rooms, adults and children
RoomBeds, window and any essential feature
BreakfastIncluded or extra, number of people and children’s rules
CancellationExact deadline, time zone and the charge afterwards
PaymentPrepay, pay later or pay at hotel; payment deadline or card guarantee
TotalFull-stay price, taxes, fees and final payment currency
ArrivalCheck-in time, reception hours and any late-arrival arrangement

Free cancellation has a cutoff. Mainland China’s local time is UTC+8; follow the time zone shown on your booking. A hotel serving breakfast does not mean breakfast is included in your rate. Count gifts or member rewards as savings only when they actually reduce the checkout total.

5. Check foreign-passport registration

Foreign visitors can stay in mainland Chinese hotels. Authorities have told hotels not to refuse overseas guests simply because they claim to lack “foreign-related qualifications”. You do not need to hunt for a special “foreigner hotel” category.

The practical check is the exact branch’s passport-registration process and reception arrangements. Open Property Policies → Guests Accepted, then check Front desk hours, check-in times, age requirements and special ID notes. “Guests from all countries/regions are welcome” is a useful starting point. Resolve contradictory restrictions or unclear self-check-in instructions before choosing a non-refundable rate.

Trip.com Property Policies showing acceptance of guests from all countries and regions, reception hours, check-in times, deposit policy and on-site payment options.
Check Guests Accepted, reception hours and deposit policy for the exact branch you plan to book.

Bring every guest’s original valid passport. If you enter China visa-free, explain that when relevant; do not invent a visa number. The hotel completes accommodation registration at arrival. Our first-day check-in section covers the reception process.

For an apartment or homestay, establish who meets you, how you collect keys after hours and who handles registration. See hotel versus private-stay registration.

6. Check payment, guest details and the final total

Room payment, cancellation rules and the hotel deposit are separate things:

TermWhat it means
Prepay onlinePay the room charge through the platform
Pay laterA later payment or automatic charge may be due; check the deadline
Pay at hotelPay the property using an accepted method and currency
Non-refundableA cancellation condition—not a payment method
Card guaranteeA card secures the booking and can be charged under its terms
Deposit / pre-authorisationA separate security payment or card hold at check-in

A prepaid room can still require a deposit. Pay at hotel does not mean no charge for a no-show. If you want to use a foreign card at reception, confirm that the branch accepts your card type for both the room and any deposit. Paying Trip.com online and paying the hotel’s terminal are different transactions.

Enter the lead guest’s passport name in the surname and given-name fields provided. If the form asks for document details, select the correct type and number. Use a reachable email and a telephone number with the right country code. Correct a name or document error through the booking before arrival.

Match the guest name to the passport, then check the selected room, stay dates and full total.

Review extras and use the payment methods offered for that booking. If payment gets stuck, check the order status and contact support before paying again.

For reception deposits, receipts and card-hold releases, continue to our first-day hotel check-in guide.

7. Confirm passport registration and late arrival

I’d settle the arrival arrangements before committing to a restrictive rate, especially for a small property or an overnight arrival. Use the property’s message option if available, or ask Trip.com support to contact the branch. After booking, open My Trips / Account → All Bookings → your hotel → Contact Hotel.

A note in Special Requests is a request, not a confirmed arrangement. Ask for an answer that covers your specific stay.

A message you can copy

Hello. We are [number] guests with ordinary [country] passports. Can your front desk register us using our original passports?

We would like to stay at [full hotel branch name] from [check-in date] to [check-out date]. We expect to arrive at [time and date, China local time]. Will reception be staffed and our room held until then? Is advance payment or a guarantee required?

Please confirm the hotel’s Chinese name, full address, guest entrance and any deposit amount/payment methods.

For this enquiry, nationality and arrival details are normally enough; keep passport scans out of ordinary messages.

A useful reply addresses passport registration, the exact arrival date and time, reception hours and room holding. If the answer is just “welcome” or “no problem”, follow up with those points. Keep the reply in the reservation, including when support relays the hotel’s answer.

Copy this template, insert your dates and ask for a specific passport-registration and late-arrival confirmation.

Arriving at 1 am? Book the previous night

If you want a room at 1 am on October 23, a booking beginning October 23 usually starts that afternoon. You normally need the night of October 22, with the hotel agreeing to hold the room for your overnight arrival. See our after-midnight booking example.

A 24-hour reception does not automatically mean your reservation will be held after midnight. For a morning arrival before check-in, ask about early check-in or luggage storage instead.

8. Check Confirmed and save the English details

Open the hotel order and look for Confirmed or its equivalent. If it is still pending after the stated confirmation period, contact Trip.com from that order.

Recheck the branch, dates, room, guest name, breakfast, payment and cancellation policy. Open Check-in voucher, the confirmation email or downloadable booking details. I recommend saving the reservation information—not just a payment receipt.

Example order: look for Confirmed and Check-in voucher, then open Contact Hotel or Local Address.

On the website, use Find bookings. In the app, use My Trips or Account → All Bookings, with the account or retrieval details used for the reservation.

Return to the original reservation through Find bookings on the website or All Bookings in the app.

Before flying, save one offline note containing:

  • The English confirmation and booking reference.
  • The hotel’s full Chinese name, branch, address and guest entrance.
  • Its phone number, stay dates and agreed arrival time.
  • Room, guest count, breakfast, remaining payment and cancellation deadline.
  • The hotel’s written reply and your order’s customer-support route.

Keep the booking PIN private. Save the address and walking route as screenshots too; a map pin can still need data to load. A paper copy is a useful backup for a flat phone battery.

9. Handle delays, changes and cancellation

If your flight or train is delayed, update the hotel before the agreed arrival time passes. Open the original reservation → Contact Hotel → give the new arrival time and date in China local time. If the property is not responding, use that order’s support route and ask for confirmation.

For example:

My arrival has changed to 01:00 on October 23, China local time. Please confirm that my October 22 room night will still be held and reception will be available.

For different dates or rooms, use Change / Modify where available, or ask support. Expect availability checks, rate differences and any fees under your existing booking.

To cancel, open the hotel order → Cancel Booking → read the policy and refund calculation → submit. Then check the cancellation result and Refund Details. A refund marked “sent” may still be processing through your payment provider.

Trip.com example hotel cancellation screens showing the reason, estimated refund, cancellation result and Refund Details status, with booking credentials hidden.
Example cancellation: check your refund calculation before submitting, then follow the result in Refund Details.

For a non-refundable rate, ask whether a date change or exception is possible; a delay does not automatically remove the charge. Close to a free-cancellation cutoff, complete the cancellation before the deadline—starting a chat does not cancel the room.

If the hotel cannot find a confirmed reservation or cannot complete passport registration, keep the original order and contact support. A hotel’s system may receive guest details closer to arrival, so let support reconcile the booking record. Ask them to resolve registration or arrange an alternative before buying another room where practical.

Use hotel support with the original booking number so the agent can resolve the right reservation.

My final check before booking

The right branch and route. The right room and rate. Confirmed passport and arrival arrangements. Those are the checks I’d prioritise over a glossy lobby or a headline discount.

Once booked, save the English confirmation and Chinese address. Our DiDi tutorial takes you to the correct entrance; Your First Day in China picks up at reception.
